Why Every Element Exists

Contact info on a single line, no header

Headers and footers in Word are stored as a separate XML region. Many older ATS parsers skip them entirely. Putting your phone and email in the document body, on a single line under your name, guarantees the parser sees them.

Standard section headings in ALL CAPS

The parser is looking for known patterns: “WORK EXPERIENCE”, “PROFESSIONAL EXPERIENCE”, “EDUCATION”, “SKILLS”. Creative variants like “Where I’ve Made an Impact” do not register. ALL CAPS is not strictly required, but it makes the headings unambiguous to both the parser and the human skimming.

Job title above company name

Most parsers expect this order. Reversing it (company first) sometimes works, but the safer pattern is title, then company, then dates, each on its own line.

Standard date format

Use “January 2022 - Present” or “01/2022 - Present”. Avoid clever formats like “Spring 2022” or “since '22” — parsers expect month-year structure.

Plain bullets with hyphens or standard symbols

Use a regular dash, asterisk, or the standard Word bullet. Avoid custom Unicode symbols or graphical bullets. The content matters; the bullet itself does not.

Comma-separated skills, not skill bars

Skill bars (the little graphical “80% proficiency” indicators) are pure decoration. The parser sees nothing. List skills as plain comma-separated text.

Formatting Rules That Make or Break Parsing

Single column, always

Two-column resumes are the most common cause of garbled ATS output. Most parsers read left-to-right, top-to-bottom, treating a two-column layout as one continuous flow. A bullet from your most recent job ends up next to a line from your education section. Stick to one column.

Standard fonts only

Calibri, Arial, Helvetica, Times New Roman, Georgia. Avoid anything decorative or embedded from a custom font file. If the system rendering your resume does not have your font, it falls back to a default and your spacing breaks.

No tables

No images, icons, or logos

Length and Density

The 2026 default is one page if you have under 10 years of experience, two pages if you have more. Recruiters spend roughly 6-7 seconds on the first scan, so density matters more than total length. Aim for:

  • 3-5 bullets per role (more for your most recent, fewer for older positions)
  • Bullets under two lines each (one line is ideal)

Pulling a “modern” template from Canva or a design site

Most look great in print and parse terribly. Visual hierarchy created with color, columns, and text boxes does not survive the parser. If the template uses any of those, skip it.

Using a “creative” font you bought

Even if the font renders on your machine, it may not render on the recruiter’s. Stick to system fonts.

Putting dates in a sidebar

A sidebar with all your dates separated from the job titles is nearly impossible for parsers to associate correctly. Dates belong on the same line or directly below their associated role.
